Cancellation Policy – Bravo Students

1. Communication of cancellations

Any request for cancellation, modification or withdrawal must be communicated in writing to the corresponding residence via email to the address indicated in the booking confirmation or accommodation agreement, including:

  • Booking number
  • Full name of the resident
  • Check-in date
  • Reason for cancellation
  • Supporting documentation, where applicable

The cancellation shall be deemed effective on the date and time the email is received. Requests received after 11:59 PM shall be considered received on the following day.

2. Cancellation before the check-in date

The resident may request the cancellation of the booking before the check-in date in the following cases:

2.1 Cancellation right within 14 days after booking

The resident may cancel the booking within fourteen (14) calendar days from the date the booking was made, provided that the check-in date has not yet started.

If the period between the booking date and the check-in date is less than fourteen (14) days, cancellation may only be made up to the day before the start of the stay.

In this case, Bravo Students will refund all amounts paid up to that date.

This right shall only apply to the first booking formalised by the resident for a specific academic year and shall not apply to renewals, room changes or special promotions.

2.2 University admission rejection

The resident may cancel the booking if they have not been admitted to the intended university or educational institution and do not have a place at any other educational institution in the same destination city before 1 August 2026.

Official documentation proving the rejection or lack of admission must be provided.

In this case, Bravo Students will refund the amounts paid, except for a €50 administrative fee or any non-refundable amounts specified during the booking process.

2.3 Visa rejection

International students may request cancellation if the visa corresponding to the stay period has been denied by the competent authority.

Official proof of the visa refusal must be provided.

In this case, Bravo Students will refund the amounts paid, excluding any applicable administrative fees or non-refundable amounts.

2.4 Replacement resident

The resident may request cancellation if they propose a replacement person who assumes the booking under the same financial conditions, duration and accommodation type until the agreed end date, provided that such replacement person does not currently hold an active contract with Bravo Students residences and has not previously contacted Bravo Students prior to the resident’s voluntary termination request.

Acceptance of the replacement resident shall be subject to prior approval by Bravo Students.

For shared rooms, the residence may require compatibility regarding gender and resident profile.

2.5 Voluntary cancellation before check-in

Outside the cases described above, the resident may voluntarily cancel the booking before the check-in date. In this case, Bravo Students shall retain all amounts paid up to that point, including the booking fee and security deposit, as part of the applicable cancellation penalty.

3. Cancellation after the stay has started

Once the stay has started, the resident may request early termination of the agreement only in the following cases:

3.1 Replacement resident

The resident may terminate the agreement early if they provide a replacement person who fully assumes the accommodation agreement under the same conditions until the originally agreed end date.

Acceptance of the replacement resident shall be subject to prior approval by Bravo Students.

3.2 Voluntary early termination

The resident may request early termination of the agreement by paying compensation equivalent to two months’ rent for the room occupied.

In all cases:

  • The resident must pay in full the monthly rent corresponding to the month in which they leave the residence.
  • The security deposit shall not be refunded.

4. No-show

Once the contractual check-in date communicated for full academic year, first semester or second semester bookings has passed, and provided no prior communication has been received through the designated electronic channels, the resident shall be considered an active Bravo Students resident and the cancellation policy applicable to residents already accommodated in Bravo Students residences shall apply.

5. Cancellation attributable to Bravo Students

If Bravo Students is unable to provide the contracted accommodation for reasons attributable to Bravo Students, the residence may:

  • Offer alternative accommodation with similar or superior characteristics; or
  • Fully refund the amounts paid by the resident.

Bravo Students shall not be liable for indirect expenses, travel costs, financial losses or damages arising from such cancellation, except where legally required.

6. Force majeure

Bravo Students shall not be liable for any failure or impossibility to provide the service due to force majeure circumstances, including but not limited to:

  • Natural disasters
  • Fires
  • Pandemics
  • Labour disputes
  • Administrative restrictions
  • Interruption of essential utilities
  • Emergency or security situations

In such cases, the parties shall attempt to agree on reasonable alternatives regarding modification or relocation of the stay.

7. Right of withdrawal

In accordance with Article 103.l) of Spanish Royal Legislative Decree 1/2007 on the General Law for the Protection of Consumers and Users, the right of withdrawal shall not apply to accommodation contracts intended for purposes other than housing where the contract provides for specific dates or periods of execution.

Therefore, once the booking has been formalised, the resident may only cancel it in accordance with this Cancellation Policy.
